Scheduled reports
This page is for the marketer. A scheduled report is the overview for the week or the month that just ended, compared with the one before. The server builds it by itself, on your own connection, and delivers it to you.
Two things are true of every report:
- It is tables of figures and nothing else. The server has no AI of its own, so it writes no summary and no advice. To talk a report through, ask your AI client to read it with you.
- It goes only to you. There is nowhere to type another address, on the page or through the AI client. To share a report, forward the mail.
Scheduling works for a user without write access and on a read-only server. It changes nothing on a platform.
Schedule a report
Ask the AI client:
Send me our figures every Monday morning by mail.
I want a monthly report for the Meta ad account and the Facebook Page, kept as a file.
The AI client shows you a preview: when the first report comes, which days it covers and where it goes. It saves the schedule when you agree.
Or schedule it yourself:
- Open Reports.
- Under Add a report, type a Name. It becomes the subject of the mail and the title on the page.
- Choose How often: Every week or Every month, on the first.
- For a weekly report, choose the day in Built on.
- Leave Accounts (optional) empty to read the first account of each platform you have connected. Or name them, separated by commas:
meta_adsfor a platform's first account, ormeta_ads:123for one account. The platforms aremeta_ads,google_ads,linkedin_ads,facebook,instagramandlinkedin. - Tick at least one way to deliver it: Mail to me, The webhook, A file here.
- Press Schedule this report, and confirm.
A way that is not available on your installation cannot be ticked, and the line under it says why.
One person may have five scheduled reports. Giving a name that already exists changes that schedule.
Where a report goes
There are three places, and you choose them by name.
| Way | Where it goes | What it needs |
|---|---|---|
| Mail to me | Your own notification address. The mail holds the figures as tables and a CSV file as an attachment. | An administrator has set up a mail server, and you have saved your address on Notifications, under Also by email. |
| The webhook | The installation's notification webhook, as one message that holds the report's rows. | An administrator has set the webhook. |
| A file here | A CSV file on the server, listed on Reports for you alone. | Nothing. |
The mail address is read again each time a report is built, so changing it on Notifications changes where the next report goes. The webhook is the administrator's setting for the whole installation: see Notifications.
When a report is built
- A weekly report is built on the day you chose, at 06:00 UTC. It covers the seven days before that day, compared with the seven days before those.
- A monthly report is built on the first of the month, at 06:00 UTC. It covers the calendar month before, compared with the same number of days before it.
There is no daily report and no other interval.
If the server was not running on the report's day, it builds one report when it starts again, for the latest period that had ended, with a line saying it is late. Periods missed before that one are not built afterwards. You can ask the AI client for an overview of any period instead.
What is in a report
The figures are those of the overview, read the same way:
- for each ad account: spend, impressions, clicks, leads and cost per lead, or conversions and cost per conversion on Google Ads;
- for each Page and account: followers, followers gained, views or impressions, interactions and posts;
- totals, with money for each currency alone;
- for each figure, the earlier period's figure, the change and the change in percent.
What it leaves out: the top posts and ads, any post's text, and reach.
A change is the server's arithmetic, not a platform's verdict. Where there was nothing to compare with, the note says "no earlier figure"; it is never shown as a zero.
A platform that refuses on the day is listed as not read, with its reason, and the rest of the report still arrives. Every platform's own switch, permission and list of allowed ad accounts is asked again each time a report is built. So a report can lose a section after an administrator turns something off, or after your connection ends.
The CSV has one figure on each row, with these columns: section, platform, account id, account, currency, metric, value, earlier, change, change in percent and note. It opens in Excel with Arabic names intact.
Read a built report
Open Reports. Under Built reports, each report shows the days it covers, when it was built, how it was delivered and how many sections were not read. Press Download CSV when a file was kept.
Or ask the AI client:
Read last week's report with me. What changed most?
The AI client can read a report whose file was kept. The figures are as they stood when the report was built.
Build one now
Press Run now beside a schedule, or ask the AI client to build the report now. It builds the report for the period that last ended and delivers it the ways the schedule says. The scheduled report still comes on its day.
It reads your platforms once, which costs calls on your own connection, so use it when you want the report, not to test a schedule.
When a report does not arrive
Nothing sends a report a second time. Instead the server tells you, once, with a notification:
- It was built but could not be delivered every way you chose, such as a mail server that refused. The figures are kept as a file on Reports even if you had not ticked A file here, so they are not lost.
- It could not be built, because the server can no longer act for you: your user was disabled, or a connection is gone. It is tried again on the report's next day.
- It was cut short: the server stopped while building it, so it is not known whether it was sent. It is not built again by itself. Press Run now to build it.
When you build a report yourself with Run now, a problem is shown to you there, and no notification is sent.
The Reports page shows each schedule's state:
| State | What it means |
|---|---|
| Running | The last report was built and delivered. |
| Not built yet | The schedule is new. |
| Last one had a problem | The reason is under the schedule. |
| Off | The schedule is kept and nothing is built. |
How long reports are kept
A report kept as a file stays as long as your installation keeps history figures. That is an administrator's setting, 800 days unless changed. The Reports page says what holds on your installation.
Two things remove a report sooner:
- LinkedIn figures. A report that holds LinkedIn figures is deleted 365 days after its oldest figure, whatever the setting says. That is LinkedIn's rule for the data.
- Disconnecting a platform. Disconnecting Google, Meta or LinkedIn deletes your stored reports that hold that platform's figures. Your schedules stay, and report that platform as not read until you connect it again.
Removing a schedule keeps the reports it already built. Press Remove beside the schedule, or ask the AI client.
See History and retention for the setting.
